Below are a series of tools your chapter can use to plan for Exam-AID sessions. This document can be worked through with your executive team as a whole, or with a sub-section of those working directly on logistics & marketing of Exam-AID sessions. In the weeks leading up to sessions, its a good idea to do a “status report” of each session at your executive meetings to address any outstanding concerns and ensure all is set to go. Use the table below to outline the Exam-AIDs that you are offering, and the associated goals. For the status, use Red, Green or Yellow to indicate how prepared you are for this session if it were to be run tomorrow. Red would indicate that you would not be able to run the session (i.e. no Exam-AID Instructor, materials unprepared, room not booked etc). Yellow would indicate you could run the session, but elements would not be ready (i.e. no take-home package, room not confirmed, dry run not completed). Green would indicate that the session is entirely ready to go. Regardless of which status you input, please make a few comments in the next column about why you chose that status.
Use the table below to briefly outline your marketing plan for each session you are running. The weeks indicate how many weeks remain before the session is run. You should be amping up your marketing efforts as you get closer to the session, but be prepared to start early!
